PROGRAM OPERATIONS

Hours of Operation

Smiles Child Care operates year-round. Care hours are approved at enrollment and are based on the family’s stated needs, availability, and program capacity. Parents are required to adhere strictly to their approved schedule.

Care outside of approved hours is not guaranteed and may be denied at the provider’s discretion. Repeated use of unapproved hours, early arrivals, or late departures may result in additional fees, schedule restrictions, or termination of care as outlined in the contract.

Smiles Child Care reserves the right to adjust operating hours due to licensing requirements, staffing, safety concerns, or operational needs

Attendance Expectations

Enrollment is based on a reserved space, not daily attendance. Families are responsible for their scheduled attendance whether or not the child is present.

Children are expected to attend consistently. Chronic absenteeism, excessive schedule changes, or failure to follow attendance expectations may result in termination of care.

Scheduling & Changes

Parents must provide their weekly schedule as required by the program. Schedule changes must be communicated in advance and are subject to approval.

Last-minute or frequent changes are disruptive to program operations and may be denied. Smiles Child Care does not guarantee accommodation of schedule changes.

Closures & Interruptions

Smiles Child Care may close due to illness, emergency, severe weather, power outages, natural disasters, acts of God, licensing issues, or circumstances beyond the provider’s control.

Parents will be notified as soon as reasonably possible. Closures do not automatically result in refunds unless specifically stated in the contract.

DROP-OFF & PICK-UP

Arrival Procedures

All children must be signed in upon arrival by an authorized adult. Parents must ensure their child is appropriately dressed, fed, rested, and prepared for the day.

Drop-offs should be brief to support smooth transitions. Lingering may increase separation difficulties for children.

Authorized Pick-Up

Children will only be released to individuals authorized in writing by the parent or guardian. Identification may be required at any time.

Smiles Child Care reserves the right to refuse release of a child if authorization cannot be verified, identification is not provided, or release would place the child at risk.

Late Pick-Up

Children must be picked up at their scheduled time. Late pick-ups disrupt program operations and family time.

Late pick-ups may result in late fees, escalation procedures, or termination of care as outlined in the contract.

If a child is not picked up within a reasonable time and no contact has been made, emergency contacts and/or authorities may be contacted

No-Call / No-Show

Failure to notify Smiles Child Care of an absence prior to the scheduled arrival time is considered a No-Call / No-Show.

Repeated No-Call / No-Show incidents may result in immediate termination of care.

Pick-Up Safety

If an individual arrives to pick up a child and appears impaired, under the influence, aggressive, or unsafe, the child will not be released. Emergency contacts or authorities may be contacted to ensure the child’s safety.

HEALTH & SAFETY

Illness Exclusion

Children must be healthy to attend care. Children exhibiting symptoms of illness may not attend or may be sent home.

This includes, but is not limited to:

  • Fever

  • Vomiting

  • Diarrhea

  • Undiagnosed rashes

  • Contagious illnesses

  • Persistent coughing

  • Lethargy

  • Inconsolable crying

Children must be symptom-free for the required period and/or cleared by a healthcare provider before returning.

Communicable Diseases

Parents must notify Smiles Child Care immediately if their child or a household member is diagnosed with a communicable illness.

Children diagnosed with a communicable illness may not return until no longer contagious and cleared by a healthcare provider when required.

Immunizations

Parents must provide current and complete immunization records as required by state regulations. Records must remain up to date at all times.

Failure to provide or maintain immunization records may result in suspension or termination of care.

Injuries & Emergencies

Minor injuries will be treated appropriately and documented. Parents will be notified according to the severity of the injury.

In the event of a medical emergency, emergency services will be contacted immediately. Parents or emergency contacts will be notified as soon as possible.

All medical costs are the responsibility of the parent or guardian

Hygiene & Infection Control

Smiles Child Care follows strict hygiene practices including:

  • Frequent handwashing

  • Sanitizing toys and surfaces

  • Proper diapering procedures

  • Use of gloves when necessary

Parents are expected to support hygiene practices at home

MEDICATION ADMINISTRATION

Medication will only be administered when absolutely necessary and when all requirements are met.

Requirements include:

  • Written parental authorization

  • Original labeled container

  • Proper dosage instructions

  • Physician authorization when required

Smiles Child Care reserves the right to refuse medication that does not meet safety, documentation, or licensing standards.

Expired medication will not be administered.

NUTRITION & ALLERGIES

Meals & Snacks

Meals and snacks provided are developmentally appropriate and nutritionally balanced. Children are encouraged to participate in family-style meals when appropriate.

Children will not be forced to eat but will be encouraged to try foods

Food from Home

Food brought from home must meet program guidelines. Sweets, candy, and shared food items may be restricted.

Allergies

Parents must disclose all food, environmental, and medication allergies in writing. While reasonable precautions are taken, Smiles Child Care cannot guarantee an allergen-free environment..

INFANT, SLEEP & REST POLICIES

Safe Sleep

Smiles Child Care follows all state and federal safe-sleep guidelines.

Infants will be placed on their backs to sleep in approved cribs or pack-and-plays. Loose bedding, pillows, toys, and sleep-positioning devices are prohibited.

Rest Periods

Children are provided rest periods appropriate to their age and development.

Children are not forced to sleep but must rest quietly during designated rest times.

BEHAVIOR & GUIDANCE

Positive Guidance Philosophy

Smiles Child Care uses positive guidance strategies including:

  • Redirection

  • Modeling appropriate behavior

  • Teaching emotional regulation

  • Age-appropriate expectations

Prohibited Discipline

The following practices are strictly prohibited:

  • Corporal punishment

  • Physical discipline

  • Humiliation

  • Threats

  • Intimidation

  • Withholding food or basic needs

Behavioral Concerns

Persistent or severe behavioral issues that disrupt the program or pose a safety risk may result in:

  • Behavior plans

  • Parent conferences

  • Temporary suspension

  • Termination of care

MEDIA, PHOTOS & PRIVACY

Media Use

Screen time is limited and used only for educational, age-appropriate purposes. Content will be non-violent and suitable for children.

Photos & Videos

Photos and videos may be used to document activities and communicate with families.

Parents agree not to share images of other children without permission

Privacy & Confidentiality

Personal information is kept confidential and used only for program operations, safety, communication, and compliance with legal requirements

FIELD TRIPS & TRANSPORTATION

Children may participate in neighborhood walks, outings, and field trips.

Parents will be notified in advance whenever possible. All safety, supervision, and transportation requirements will be followed.

Participation may be limited based on behavior, safety, or licensing requirements.

TERMINATION & WITHDRAWAL (POLICY)

Smiles Child Care reserves the right to terminate care at any time if:

  • Policies are violated

  • Safety is compromised

  • Fees are unpaid

  • Continued care is not in the best interest of the child or program

Parents may withdraw their child according to notice requirements outlined in the contract.

POLICY MODIFICATIONS

Policies may be updated to reflect licensing requirements, operational needs, or program improvements.

Parents will be notified of changes. Continued attendance constitutes acceptance of updated policies.

RESPONSIBILITY FOR COMPLIANCE

Parents are responsible for reviewing, understanding, and complying with all policies. Failure to read or understand policies does not exempt a family from compliance
